📊 Guide: Report Connections, Date Grouping & Formatting

To turn standalone Pivot Tables into an interactive dashboard, you need to master Report Connections, Date Grouping, and Built-in Conditional Formatting.

1. Slicer Report Connections (Multi-Table Interactivity)

By default, a Slicer only filters the single Pivot Table it was created for. To make 1 Slicer control all Pivot Tables on your dashboard:

  1. Right-click the Slicer and select Report Connections... (or PivotTable Connections...).
  2. Check the boxes for all Pivot Tables on your sheet.
  3. Click OK. Now clicking a filter button updates every chart on your dashboard simultaneously!

2. Date Grouping in Pivot Tables

When analyzing time-series data (e.g. daily order dates), group raw dates into Months, Quarters, or Years:

  1. Right-click any date cell in your Pivot Table's Row Labels.
  2. Select Group...
  3. Select Months and Years (hold Ctrl to select multiple).
  4. Excel will automatically roll up your daily data into clean monthly aggregations!

3. Built-in Conditional Formatting (Color Scales & Data Bars)

Highlight top performers or identify low sales threshold cells automatically:

  • Color Scales: Select your Pivot Table values → Home → Conditional Formatting → Color Scales → Choose Green-Yellow-Red.
  • Data Bars: Highlight a revenue column → Conditional Formatting → Data Bars for mini in-cell bar charts.
  • Formatting Rule Scope: Click the small formatting options pop-up icon to apply the rule to All cells showing 'Sum of Revenue' values so the formatting stays intact when filtered.
